Living Lab - Privacy Notice

The controller for the processing of your personal data when you agree to be part of a Living Lab Field Test is Vaillant Group UK Limited, Nottingham Road, Belper, Derbyshire, DE56 1JT ("we", "us").

This Living Lab privacy notice relates solely to your involvement in the Vaillant UK Living Lab.

How and why we collect your personal data

If you are an existing customer, supplier, or a member of staff, we will already have a record of your name and contact details, in most cases in relation to one of our products. If you have contacted us enquiring about the Living Lab Field Tests or you have been told about them and have asked for more information, we will check your name and email address with our existing records (“Customer Data”) and use the Customer Data purely in order to send you the relevant information by email.

If you are interested in taking part in a Living Lab Field Test, our email will contain a link to an ‘Interests form’ hosted by Aeterno on our behalf, which asks for your correspondence address, phone number, product type, house type, house age, and other physical attributes of the property, electric car ownership, MPAN number (see explanation on the form), and the install address if different (“Eligibility Data”). We only use your Eligibility Data in order to assess whether we have an ongoing Living Lab Field Test that is suitable for your Vaillant product, property, and/or energy use and where applicable, propose this Living Lab Field Test to you and to contact you in connection with the Living Lab Purposes.

If, based on your Eligibility Data, you are offered a confirmed place on a Living Lab Field Test, and you accept the product offered, at this stage we will ask you to sign an agreement with us. No additional data will be required for the agreement, but the agreement will contain your name, your residential address, and your signature (“Contract Data”).

Once contracts are signed, we will use your Customer Data and Eligibility Data to dispatch the Product to you.

You will also be required to download and register for our App called My Vaillant App. Details of how we use your My Vaillant App data, is available in the separate privacy notice on the My Vaillant App and is not covered again here.

We provide your address and MPAN reference to Aeterno who will obtain local temperature and weather conditions and the EPC report for the property to provide a more accurate heat loss analysis based on location and local weather conditions (“Localised Data”). From your MPAN reference Aeterno will obtain your energy consumption data via your Energy supplier (“Energy Data”).

The My Vaillant App Data is also shared with Aeterno, who access this via an API link direct to a Vaillant server in the UK and using this we will be able to assess whether the product is working optimally and satisfy the Living Lab purposes.

Living Lab Purposes

Vaillant hope to understand how its products perform under different conditions, how energy efficient they are compared to other models, energy consumption, and how house type, build type, size and location affects this and provide advice on how to improve their efficiency. We will do this by reviewing and assessing the My Vaillant App Data, alongside.

Vaillant may also use aggregated data from all participants in the Living Lab when it is marketing its products in the future, e.g. the average energy efficiency of X boiler was ….. etc. but this will have no reference to your personal data.

In addition, we may save your property and energy performance data on to your Vaillant product account for improved oversight and support when you contact us.

This data could also aid in providing recommendations on products that will help to improve your comfort and energy efficiency.

Our lawful basis for processing your personal data

Our lawful basis for processing your Contract Data, Localised Data and Energy Data, is to fulfil a contract between you and Vaillant (i.e., the terms and conditions agreed between us) and for our Legitimate Interests in that we are seeking to understand how our products perform in a real environment and assess how various factors affect them in order to continue to improve our products for our customers.

How long we will keep your personal data

Vaillant will continue to hold your data as follows:

  • Customer Data - in accordance with our main privacy notice.
  • Eligibility Data - for so long as a Living Lab Field Test is being discussed with you, and if we enter into an agreement with you, for the Term of the Agreement and for 6 years thereafter.
  • My Vaillant App Data - for so long as you have the My Vaillant App installed on a device [insert link].
  • Contract Data - for a maximum of 6 years after the completion of the Living Lab Field Test.
  • Localised Data and Energy Data - will be anonymised (i.e. no personal data included) and retained for a maximum of 5 years or if sooner until such time as it is of no further benefit to Vaillant, or the Living Lab project is closed, and all data deleted.

Who we share your Personal Data with

We share your address with a third party; Aeterno, who are based at 6-7 Trim Street, Bath, BA1 1HB

Technical and organisational measures

We apply technical and organisational security measures to protect the personal data we process against destruction, loss, alteration, unauthorised disclosure, or access.

All personal data provided by you when using our products and services will be transmitted to us in encrypted form. Your data is password protected in the systems in which it is stored. The persons who have access to it are prohibited by strict security regulations from disclosing your data to third parties unless we have set out where a third party is used as part of the provision of any of our products or services.

Where the lawfulness of our processing of personal data relies on your consent, you also have the right to withdraw your consent at any time.

You will not be charged for exercising your rights and, once we receive your request, we have one-month to respond to you, unless we let you know otherwise.
